Renovation fund: from a needs plan to clear financial reporting
Clear operations distinguish the plan, funding sources, commitments, expenditure and balance, without presenting the software as a source of law.

Record the purpose and basis of the decision
Each renovation task should describe the need, scope, estimated cost and priority, and reference the approved plan or resolution applicable to that community.
Separate the plan from actual results
The plan shows expected income and expenditure. Actual results are based on real documents, agreements and payments. Explain differences instead of hiding them.
Link expenditure to documents
The order, quotation, agreement, invoice, acceptance record and payment should form one evidence trail. This makes the report more than a sum of accounting entries.
Report the balance and commitments
The bank balance alone does not show available funds. The report should also include approved but unpaid commitments and expected income.
Sources and scope
For information only. This is not legal, tax or accounting advice; adapt the procedure to the documents and circumstances of the specific housing community.
