For firms managing housing communities

Property management software for multiple housing communities without mixing data and responsibilities

A portfolio needs a common way of working, not one common bucket of data. WM Administrator helps organise tasks and repeatable processes while preserving the separate context of every housing community.

One operating standard, separate communities

A management firm needs a view that makes deadlines, cases and workload visible. At the same time, the registers, finances, documents and permissions of one community must not leak into another.

Scaling should therefore come from repeatable processes rather than copied spreadsheets:

  • every community has its own data context;
  • staff receive roles needed for their work;
  • significant operations leave a trail;
  • open cases and deadlines stay linked to the correct community;
  • a community’s data can be handed over or exported without affecting the rest of the portfolio.

Repeatable onboarding for a new community

A new client rarely arrives with a perfect data set. Information may be split between Excel, the previous administrator’s system, scans and paper documents.

A controlled onboarding flow should include a stage before publication:

  1. inventory of sources;
  2. a cut-off date;
  3. field mapping;
  4. import preview;
  5. a list of errors and ambiguities;
  6. reconciliation of record counts and balances;
  7. approval of publication;
  8. preservation of migration-source information.

An error found before publication is cheaper than an error found after the first charging run.

Roles instead of “who normally does this”

With several employees and multiple communities, informal shortcuts appear quickly: one person knows the bank workflow, another the charging rules, someone else holds access to external portals. This does not scale and does not survive absence or staff changes well.

The system should make roles, responsibility and delegation explicit. Higher-risk operations may require additional confirmation. The process then depends less on one person’s memory.

An explanation standard instead of “the system calculated it”

For the customer, a software brand name is not an explanation. A management firm should be able to show the path from source document and rule to the final result.

The same standard can be used across communities: result → source → rule → approval → correction, if one occurred.

This reduces the cost of handling queries and complaints and makes the answer less dependent on whether a particular employee is at work that day.

Changing administrator should not destroy context

Offboarding is part of service quality. Ending a service relationship requires more than a set of files: open cases, balances, deadlines, permissions and unresolved exceptions also need to be handed over.

A complete export and controlled removal of access reduce dependency on one vendor or management firm.

Handing over a housing community without losing context

Security is an operating requirement

A housing community processes owner data, financial records, documents and technical cases. A management firm should know where data is processed, how separate customers are isolated, how roles and MFA work and how export/offboarding is handled.
